WHO SHOULD EXHIBIT?

Any provider of services or products supporting students or assisting students in eliminating barriers to learning and school success. They may include:
  • Educational service providers

  • Mental health or wellness organizations

  • Nonprofit or community agencies
  • Companies offering school-related programs, tools, or resources
  • For-profit organizations with products/services that support students

    VENDOR OPPORTUNITIES

    Vendors are individuals or businesses selling items directly to conference attendees. Examples include:
    • Homemade items
    • Direct sales products
    • Crafts
    • Apparel
    • Body care or wellness products
    • Jewelry, art, or specialty goods

      EXHIBITOR AND VENDOR RATES

      Non-Profit Exhibitor - $125
      Registration includes: Listed in Conference App, Listed on scrolling conference banner, 1 or 2 registered attendees at the booth, Participation in conference raffle, Donate raffle item(s), Attend any conference sessions and socials.
      • Additional table - $60
      • Electricity access - $40
      • All meals - $220 per person
      For-Profit Exhibitor - $275
      Registration includes: Listed in Conference App, Listed on scrolling conference banner, 1 or 2 registered attendees at the booth, Participation in conference raffle, Donate raffle item(s), Attend any conference sessions and socials
      • Additional table - $50.00
      • Electricity access - $40
      • All meals - $220 per person

      Vendors
      Vendors are individuals or businesses selling merchandise directly to conference attendees, rather than providing student support services.

      • One 6’ table with 2 chairs - $100
      • Electricity access - $40
      • Each Additional Table - $100
      • All meals - $220 per person

      General Information

      • The exhibit hall is carpeted. All spaces will be provided with one table (6’) topped with flame resistant, vinyl and draped with a pleated flame resistant fabric skirt. Two chairs and one wastebasket will be provided. A standard identification sign will be furnished. Electrical requests must be completed on your registration form. Wireless Internet will be provided by the Conference Center. Exhibitor agrees not to dismantle exhibit or do any packaging before the closing of the exhibit spaces.
      • Full payment must be received by the conference date of Sunday, February 21, 2027. To ensure your name is listed in our program agenda, your registration form must be received by January 15, 2027. Exhibitors and vendor will receive confirmation after all paperwork and money has been received. Registrations submitted after February 10, 2027, will be charged a $50.00 late fee.No refunds will be made after February 15, 2027.
      • Setup Hours are Sunday from 12 PM - 4 PM and Monday from 6:30 AM - 9 AM
      • Exhibit Hours are Sunday from 12 PM to 5 PM, Monday from 8 AM to 6 PM and Tuesday from 8 AM to 12 PM

      Assignment of Exhibit & Vendor Space

      Exhibit and vendor space will be assigned in the order in which paid applications are received. Exhibit management will make every effort to separate like vendors (e.g., direct sales, small businesses with similar products) and will honor requests to be positioned near specific exhibitors or vendors, based on availability.

      The Conference reserves the right, without recourse, to control or prohibit any exhibit or vendor table that, in its opinion, is not suitable or consistent with the character of the conference. This includes, but is not limited to, persons, items for sale or distribution, conduct, printed materials, souvenirs, and displays. The Conference also reserves the right to withdraw an exhibitor or vendor if payment is not received by the conference date.

      Property, Liability & Insurance

      All property of exhibitors and vendors remains under their care, custody, and control during transit, set-up, and throughout the event. Exhibitors and vendors are strongly encouraged to carry insurance covering exhibit materials against loss or damage, as well as liability insurance against injury or damage to persons or property.

      Neither PAMLE, the Conference Committee, nor the Penn Stater Hotel and Conference Center will assume responsibility for theft, fire, accident, vandalism, or other causes of damage to property belonging to exhibitors, vendors, their staff, or representatives. By participating, exhibitors and vendors agree to waive and release any claims except where damage or loss results directly from gross negligence or willful misconduct by PASAP or the Penn Stater Hotel and Conference Center.

      Exhibitor & Vendor Representatives

      Each exhibitor or vendor must designate one individual as the authorized representative responsible for managing the table and acting as the primary point of contact. Additional representatives may be named on the registration form. Name badges will be issued for all listed representatives.
